Kalamazoo Symphony Orchestra (KSO) has an exciting summer and fall full of concerts and can’t wait to bring it all to life with an expanded team! The team is looking for several full- and part-time positions including Donor Services and Special Events Coordinator; Marketing, Sales, and Patron Coordinator; Executive Assistant; and Stage Manager and Operations Assistant. Donor Services & Special Events Coordinator

Reporting to the Director of Development, the Donor Services and Special Events Manager is responsible for advancing the organization in managing and improving all aspects of the donor experience for the KSO. This role is pivotal in representing the organization to the public through donor and patron engagement efforts, particularly in the areas of individual giving and excellent customer service for the donors of the KSO.

This includes gift data entry, utilizing a database to effectively engage donors through reporting, developing communications collateral, proposing and creating systems that improve the donor experience, and overseeing gift acknowledgment efforts. In addition, this role will plan and oversee special events for the KSO. This individual will work with volunteers and must be able to pitch in on tasks small and large.

Key Qualifications

  • Bachelor’s Degree or beyond
  • Demonstrated success in sales or fundraising activities
  • Excellent interpersonal and organizational skills
  • Excellent communication skills, both verbal and written, and comfort speaking with new people
  • Familiarity and confidence in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Familiarity with customer relations management software, Tessitura preferred
  • Demonstrate the ability to balance multiple projects, meet deadlines, and communicate effectively in a flexible and fast-paced environment
  • Donor-centered and with a strong customer service ethic
  • Diplomacy in handling sensitive and confidential information
  • Must have a positive attitude, strong problem-solving skills, be able to work as part of a high-functioning team
  • Passion for the performing arts preferred

Marketing, Sales, & Patron Services Coordinator

The Marketing, Sales, & Patron Services Coordinator is responsible for supporting the organization in meeting and maximizing its earned income goals through managing all KSO ticket office functions and executing marketing and public relations strategies, including social media. This position manages the Tessitura customer relationship management database system and provides exceptional customer service for KSO patrons. This individual will be a self-starter and will be able to succeed in a dynamic, fast-paced, regional performing arts institution.


  • Bachelor’s degree, or equivalent, in marketing, communication, arts management, or related field and at least one year of experience.
  • Excellent social media and website analytics administration experience.
  • Outstanding verbal and written communication skills, and comfort speaking with new people.
  • Ability to think inquisitively, creatively, and proactively.
  • Positive attitude and a collaborative team spirit!
  • Diplomacy in handling sensitive and confidential information.
  • Strong graphic design skills and experience with Adobe Creative products.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Familiarity with customer relations management software, Tessitura preferred.
  • Flexible schedule, the ability to work some nights and weekends.

Executive Assistant

Are you a detail-oriented, outgoing individual with a positive attitude? The position of Executive Assistant is ideal for someone who thrives in a creative, fast-paced arts environment. Reporting directly to the Executive Director, the Executive Assistant will also collaborate regularly across the team, and lead selected, special projects. This individual will be expected to interact frequently with board members, community leaders, performing arts professionals, major donors, and staff at all levels, and will greet visitors in the Symphony office. This self-motivated executive assistant will possess excellent judgment and exceptional communication and administrative skills. The candidate will be a mature and creative problem solver, attentive to details, discreet, able to multi-task, and maintain composure in a fast-paced environment. The Kalamazoo Symphony Orchestra is looking for skill, speed, and accuracy in managing details between and among high priority projects. A background in the arts is desirable.

The Stage Manager and Operations Assistant

The Stage Manager/Operations Assistant coordinates and oversees staging requirements for all Kalamazoo Symphony Orchestra events and programs including orchestra and small ensemble services, educational programs, auditions, and other events as needed and acts as a liaison between KSO Management, stage staff, and equipment providers.
